Zapier is one of my favorite and most used automation tools! I use zaps (workflows that connect my apps) to save time and brainpower in my business every day. Repeat tasks are a big part of my processes and Zapier lets me automate them quickly and easily. Although integrating software may seem a little intimidating at first, once you know a few tricks, Zapier is easy to use.
I recently hosted a 5-day Zapier Challenge in our Process Rehab Facebook group. If you’ve been wondering about Zapier, but you’re not sure how to get started, I’m here to help. I’ll walk you through setting up an account and creating your first zap. Next, we’ll dive a little deeper to create multi-step zaps, use filters and operators, and even automate your onboarding process. Finally, we’ll use Zapier to start maximizing your social media processes as a kick-starter to even more business automation.

Day 1: Getting Started with Zapier
Do you have a wish list of things you wish you could automate within your business and stop mundane tasks? Today, we’re going to learn about Zapier and how it can benefit your business. After today you will be able to:
- Download the checklist
- Create a Zapier account and sign up for a free trial
- Make a list of every single software that you use
- Research Zapier to see if your software is available to be automated
- Start making a list of tasks you can automate in your business
Day 2: Creating Your First Zap
The zap we will be creating today will save you and your sales team time as we learn how to connect new CRM contacts to QuickBooks Online. Following today’s video, you will be able to:
- Create a zap
- Connect your account
- Identify triggers and add an action step
- Turn on and test your new zap
Day 3: Adding Multi-Step Automation
Now we’re ready to learn how to create multiple-step automation. We will be modifying the zap you created in Day 2 and adding a filter to make a multi-step zap. Today you will be able to:
- Understand filters
- Create multi-step zaps
- Modify an existing zap
- Understand and know how to use operators
Day 4: Automate a Process
This is my favorite zap so far! Today we’ll learn how to simplify your client on-boarding process by automatically creating your client folders and templates in Google Drive.
- Think about how Zapier would know if you have a new client
- Identify the trigger for this zap
- Create folders and add files to those folders
- Allow editing
- Consider what other processes you can automate with Zapier
Day 5: Put Zapier to Work for You
In addition to automating your existing processes, Zapier can work behind the scenes for you. To show you how this can work, we’ll use Zapier to get the most out of your social media mentions. This Zapier automation is a game changer!
- Create a complex, multi-step zap
- Find influencers who are tweeting about your keys words
- Add information directly to your spreadsheets
- Automatically send messages to filtered recipients
- Automatically link social media connections
- Consider other ways Zapier can work for you
